A practical retail guide
POS Migration Checklist
A useful checklist starts with access and ends with accepted results.
Define the move
Prepare the data
Review a test
Reconcile the result
Define scope and decision owners
Name the retailer approver, source account owner, migration contact and destination implementation owner. Identify who can stop the final transfer if acceptance checks fail.
- Record exact POS editions, accounts, stores and connected channels.
- List required products, customers, stock, history and liabilities with an agreed outcome for each.
- Inspect existing destination records and agree create, match and update rules.
- Confirm vendor access, charges, correction responsibilities and support duration in the written scope.
Prepare evidence and keep an original
Retain source exports unchanged. Use working copies for transformation and keep a field map with source ID, destination field, transformation and exception owner.
- Choose a complete style with several variants and unusual identifiers.
- Include duplicate customer candidates and a pre-existing destination product.
- Map stores and warehouses, preserving the meaning of each stock quantity.
- Open the export files and test a historical lookup before scheduling cancellation.
Approve a representative test
Agree expected counts before loading a sample. Count products separately from variants and verify each location. Record rejected rows and unsupported fields; do not accept a test solely because the importer finished.
- Scan sample barcodes and inspect variant grouping.
- Confirm customer matches and any skipped duplicate profiles.
- Check store-level quantities, prices and costs for the selected records.
- Approve an archive or other treatment for excluded history and balances.
Plan the final snapshot and recovery
Agree a cutoff time and timezone, who restricts edits and how trading changes are captured. Confirm the recovery action if a test fails or only part of a batch imports. An export backup alone is not a destination restore plan.
Reconcile and hand over
Compare expected, imported, matched, rejected and excluded records. Reconcile quantity by item and location, include the post-snapshot changes and demonstrate archive access. Keep retailer acceptance and unresolved decisions with the handover.
Download the readiness checklist for an editable owner/status record. Do not put credentials or customer export data into this worksheet.
